Job Description
Background:
The Crops, Environment and Land Use Programme (CELUP) is made up of:
- 2 Research Departments (Crop Science; Environment Soils and Land Use);
- 2 Development Departments (Forestry and Horticulture);
- 3 Knowledge Transfer Departments (Crops; Climate/Biodiversity and Water Quality Departments); and
- 2 Enterprise Departments (Oak Park and Johnstown Castle.
Basic Function:
To provide administrative support to the Crops Science Department, the Oak Park Enterprise Department, and the CELUP Knowledge Transfer Departments. The role may require support for other CELUP departments as and when required.
Job Objectives
- Provide administrative support across all areas of the Crops Science Department, the Oak Park Enterprise Department, and the CELUP Knowledge Transfer Departments.
- Duties will include but are not limited to:
- Provision of administrative support to HOP, HODs and Campus Administrator.
- Checking CIMS diaries/uploading CIMS diary events.
- Administrative support for Travel & Subsistence claims.
- Managing driving licence records.
- Monitoring/tracking annual leave, sick leave etc.
- Manage room booking and co-ordinate catering requirements.
- Generate, track and monitor requisitions/PO’s in line with Teagasc procedures.
- Act as initial point of contact for new starters, as required.
- Support the editing and formatting of major documents before publication (event proceedings, technical notes, flyers, etc).
- Provide support in organising and attending local/regional/national events.
- Production of reports from relevant IT and finance systems including Smart Simple and Integra.
- Assist in the provision of administrative support to staff in relation to tendering, procurement procedures and provide assistance with other administrative areas when required.
- Assist with the administration of Capital Development projects.
- Operate visitor policy consistent with Customer Service and security requirements of the campus.
- Support budget activities including monitoring of budgets and year end accruals.
- To assist Teagasc in meeting the commitments of the Quality Customer Service Charter and Action Plan.
- To actively participate in the annual business planning and Performance Management Development System (PMDS) processes.
- Fully co-operate with the provisions made for ensuring the health, safety and welfare of themselves, fellow staff and non-Teagasc staff and co-operate with management in enabling Teagasc to comply with legal obligations. This includes full compliance with the responsibilities outlined in the Safety Statement.
- Any other duties as may be assigned from time to time.
