Job Description
Basic Function
To provide administrative support to the College Campus Administrator in relation to all education course delivery.
Background
Kildalton is the largest Teagasc college and a leading provider of training in Agriculture, Horticulture and Equine Studies in Ireland with over 1,400 students attending courses every year. In addition to providing QQI accredited courses at Levels 5 and 6, Kildalton College also provides courses at Levels 7 and 8 with the local South East Technological University (SETU) making the college a progressive learning facility in the South East. Kildalton College is situated in the village of Piltown, Co Kilkenny in the picturesque Suir valley.
Job Objectives
- Provide general administrative support to the College Principal, College Campus Administrator and appointed Assistant Principal.
- Operate within a front office environment being the first point of contact to the public and student body, managing enquiries in line with the Teagasc Customer Service Charter.
- Setup, monitor, and record student attendance on SEAtS.
- Monitor and record the signing in/out of underage students and notify parents/guardians when the fail to attend.
- Provide front of house telephone and reception service ensuring a high standard of Quality Customer Service to learners and stakeholders.
- Provide administration support to education staff in relation to course delivery and verification.
- Assist management with the production of reports, correspondence and other documents as necessary.
- Assist with note taking for weekly course meetings and result approval meetings.
- Organise and schedule appointments using relevant technologies such as Outlook and Teams.
- Maintain and update student files/records using education management systems such as Quercus and Moodle.
- Administration of student accounts, i.e. accepting payments, receipting and credit control as per Teagasc procedures.
- Update Teagasc website and social media regularly.
- Opening and sorting incoming and outgoing post.
- Assist with the organisation of college publicity functions and materials.
- Purchasing of goods and services in accordance with financial procedures.
- Ensure that expenditure and revenue is recorded consistently.
- File management and ensuring retention schedules are adhered to in line with GDPR compliance.
- Contribute to the development of the College Business Plan.
- Assist in the allocation of student room keys in respect of accommodation.
- Assist with monitoring the maintenance of office equipment, buildings, etc.
- Maintaining and operating the traffic barrier system.
- To assist Teagasc in meeting the commitments of the Quality Customer Service Charter and Action Plan.
- To actively participate in the annual business planning and Performance Management Development System (PMDS) processes.
- Fully co-operate with the provisions made for ensuring the health, safety and welfare of themselves, fellow staff and non-Teagasc staff and co-operate with management in enabling Teagasc to comply with legal obligations. This includes full compliance with the responsibilities outlined in the Safety Statement.
